👥 User Management & Invitation Issues

Issue 1: "Seat type mismatch" error when sending batch email invitations

  • Symptom: An error notification appears when trying to submit a list of email invitations.
  • Cause: You entered email addresses for both Full Seat and Guest Seat users in the same invitation batch.
  • Solution:
    1. Clear your email list in the invitation form.
    2. Send separate invitation batches — one for Full Seat users and another for Guest Seat users.

Issue 2: "Role cannot be assigned" error when creating or editing a user

  • Symptom: The system prevents saving a user account with a specific security role.
  • Cause: The selected security role does not match the chosen seat type (Full Seat vs Guest Seat).
  • Solution:
    1. Verify the user's Seat Type selection.
    2. Select a security role from the dropdown menu that corresponds to that seat type (e.g., choose a Guest Seat role for a Guest user).

Issue 3: Cannot deactivate your own user account

  • Symptom: The status switch next to your own user row is disabled or shows an error when clicked.
  • Cause: Algus includes a safeguard preventing administrators from accidentally deactivating their own accounts.
  • Solution: Ask another administrator in your organization workspace to update your account status if needed.

📍 Location & Department Visibility Issues

Issue 4: A team member cannot see tasks or inspection reports for a specific location

  • Symptom: A user cannot select a location from the top site filter or view tasks for a site.
  • Cause: The team member is not assigned to that location or its main parent facility.
  • Solution:
    1. An administrator opens SettingsSite Management.
    2. Click the location's name to open Site Details and navigate to the Members tab.
    3. Assign the user (or their User Group) to the location and click Save Changes.

Issue 5: "Cannot delete site" message when attempting location removal

  • Symptom: An error toast pops up when clicking Delete on a location.
  • Cause: The location contains historical inspection reports, active tasks, or safety issue records that must be retained for compliance audits.
  • Solution:
    1. Do not delete the site.
    2. Toggle the location's status switch to Inactive. This hides the site from daily dropdown menus while preserving all historical compliance records.

Issue 6: Department Management option is missing under Settings

  • Symptom: The Department Management tab is not visible in the left sidebar menu under Settings.
  • Cause: The optional department feature switch is turned off for your organization.
  • Solution:
    1. An administrator navigates to SettingsOrganizationPreference tab.
    2. Toggle Enable Departments to ON and click Save Changes.

Issue 7: "Cannot delete department: It has associated sites"

  • Symptom: An error toast appears when trying to delete a department.
  • Cause: One or more physical locations are currently linked to this department.
  • Solution:
    1. Open SettingsSite Management.
    2. Edit each site currently linked to the department and remove or change their department linkage.
    3. Return to Department Management and delete the department.
