What is Task Management?

The Task Management module in Algus is a centralized system for tracking action items, to-dos, and operational responsibilities across your organization. While inspections help identify issues, Tasks ensure those issues are effectively assigned, tracked, and resolved.


How Tasks Fit into Algus

Tasks are generated through three primary mechanisms:

  1. Standalone Tasks: Created manually to assign operational jobs directly to team members or user groups (e.g., "Clean warehouse floor" or "Calibrate pressure sensor").
  2. From an Inspection: Created directly from an inspection question to address a recorded defect or failed item.
  3. From an Issue or Incident: Generated as part of the resolution workflow for reported issues or safety incidents.

Origin Traceability: Tasks linked to inspections, issues, or incidents display a clickable origin badge referencing the source record for audit transparency.


Key Task Concepts

  • Assignments: Assign tasks to individual users, user groups, or site teams.
  • Due Dates & Times: Deadlines to enforce timely resolution and compliance tracking.
  • Priority Levels: Visual indicators (Low, Medium, High, Urgent) to organize workload urgency.
  • Statuses: Operational state progression (To Do, In Progress, In Review, Completed).
  • Task Types & Labels: Custom categorization (Maintenance, Cleaning, Safety, Admin) with tailored custom fields.

Web Application Capabilities

  1. Task Views: Access comprehensive list views, table column sorting, and interactive Kanban Board views.
  2. Management Controls: Filter tasks across the organization by Site, Assignee, Priority, Status, or Date Range.
  3. Task Drawer: Click any task row to view full task details, update status, reassign team members, or attach comments and files.

Scenario: Corrective Action Tracking for Damaged Equipment

  • Context: A warehouse supervisor identifies a hydraulic oil leak during a forklift inspection.
  • Workflow:
    1. The supervisor creates a High Priority Task directly from the inspection question: "Repair Hydraulic Line on Forklift #08".
    2. The task automatically links the inspection origin badge and assigns the job to the Maintenance Crew.
    3. A mechanic updates the status to In Progress, repairs the line, attaches a photo proof of the new hose, and marks the task Completed.
