Sending Inspection Invitations

Learn how to send an email invitation to external users to complete an inspection form.

What are Inspection Invitations?

Inspection Invitations allow you to request an inspection from external contractors, clients, or third-party auditors who do not have an active Algus user account.

By sending an invitation, the external user receives an email containing a direct, secure link to complete the form in their web browser.


How to Send an Inspection Invitation

  1. Navigate to Templates in the main menu.
  2. Locate the template you want the external user to fill out.
  3. Click the Options menu (three dots) next to the template name.
  4. Select Send Inspection Invitation.
  5. A modal dialog will appear requesting the recipient's Email Address.
  6. Type the email address and click Send Invitation.

Recipient & Submission Workflow

  1. The recipient receives an email containing the direct inspection link.
  2. Clicking the link opens the template directly in their mobile or desktop web browser.
  3. The external user completes the form and submits the inspection.
  4. Once submitted, the completed inspection automatically displays on the main Inspections page in Algus, with the recipient's email address recorded as reference.

❓ Frequently Asked Questions

No. The secure link sent in the invitation email has no expiration date and remains active until the inspection is completed and submitted by the recipient.

Can the recipient edit a submitted inspection later?

No. Once the external user submits the inspection, the link is deactivated and their browser session is locked. Any subsequent reviews, corrections, or modifications must be handled internally by your authorized administrators or team coordinators.
