A centralized inbox for actioning tasks and reviewing escalations generated by your automated workflows.
The Approval Management module serves as a unified inbox for your workforce. Instead of manually hunting through different modules (like Incidents, Inspections, or Documents) to find items requiring your attention, the Approval Management dashboard automatically consolidates all pending requests assigned to you by the system's Workflow Engine.
Core Capabilities
- Unified Approval Inbox: Action pending approvals for Inspections, Document Versions, Feedback Submissions, Issues, and Incidents from a single location.
- Escalation Acknowledgments: Receive and acknowledge urgent escalations (e.g., from critical incidents) with mandatory notes.
- Detailed Context: View the underlying item's details—including attached files, answers, and linked tasks—directly within the approval view before making a decision.
⚡ Workflow Integration
The Approval Management module does not allow you to manually create new approval requests or escalations from scratch. Instead, it relies entirely on the Workflow Automation engine.
Whenever an action occurs in the system—such as an Incident being reported or a Document Version being submitted for review—it triggers a Workflow.
If that Workflow contains an Approval Node or an Escalation Node, the system will automatically:
- Generate the approval or acknowledgment record.
- Assign it to the correct users or groups based on the node's configuration.
- Send a push notification (and email, if configured) to the assigned users.
- Add the item to their Approvals or Acknowledgments inbox.
!TIP To change who receives approvals, or under what conditions they are sent, an Administrator must edit the corresponding Workflow within the Workflow Automation module.
❓ Frequently Asked Questions
Why can't I create an approval request from this module?
Approvals are designed to be entirely automated to ensure standardized business processes. They are strictly generated by configured Workflows. If you need to require approval for a specific type of inspection or incident, you must set that up in the Workflow Automation builder.
How do I know if I have a pending approval?
You will receive a push notification on your mobile device and/or an email (depending on your notification settings) whenever a Workflow assigns a new approval or escalation to you. It will also appear immediately in your Approvals inbox on both the web and mobile apps.
