Creating Resources

Learn how to create and configure resources with custom fields and QR codes for effective resource management.

Before You Start

Before creating resources, ensure you have configured resource types with the necessary custom fields. This will help you organize your resources effectively and capture all required information during resource creation.

Getting Started

Accessing Resource Management

  • Navigate to the Resources section from the main menu
  • You'll see a list of all resources in your organization
  • Use the Resource Settings tab to manage resource types and readings

Creating a New Resource

Step 1: Open the Create Resource Form

  • Click the "Create Resource" button in the top-right corner
  • A drawer form will appear with all required fields

Step 2: Fill in Basic Information

  • Title: Enter a descriptive name for the resource
  • Resource Type: Select from available resource types
  • Site: Choose the site where the resource is located (optional)
  • Image: Upload an image of the resource (optional)

Step 3: Configure Custom Fields

  • Based on the selected resource type, custom fields will appear
  • Fill in the required information for each field
  • Fields can include text, numbers, dates, multiple choice, and more

Step 4: Save the Resource

  • Click "Save" to create the resource
  • A QR code will be automatically generated for the resource

  • Filters: Search by title, filter by resource type or site

Resource Details

Basic Information:

  • Title, type, site, image
  • Custom Fields: All configured fields and their values
  • QR Code: Generated QR code for easy identification
  • Attachments: Upload and manage related files
  • Related Data: Connected inspections, tasks, and readings

Best Practices for Resource Creation

Naming Conventions

  • Use clear, descriptive names that are easy to identify
  • Include relevant identifiers like model numbers or serial numbers
  • Be consistent with naming patterns across similar resources

Resource Type Selection

  • Choose the most appropriate resource type for your resource
  • Ensure the resource type has all the custom fields you need
  • Consider creating a new resource type if existing ones don't fit

Site Assignment

  • Always assign resources to the correct site when possible
  • This helps with organization and location tracking
  • Site assignment enables site-based filtering and reporting

Image Documentation

  • Upload clear, high-quality images of your resources
  • Images help with visual identification and documentation
  • Consider including multiple angles for complex equipment

Custom Fields Configuration

Understanding Custom Fields

  • Custom fields are defined at the resource type level
  • They allow you to capture specific information for each resource
  • Fields can be required or optional based on your needs

Field Types Available

  • Text: Single line or multi-line text input
  • Number: Numeric values with optional decimal places
  • Date: Date picker for tracking important dates
  • Multiple Choice: Dropdown or radio button selections

QR Code Management

  • View and download QR codes from the resource details page

Troubleshooting

Common Issues

Resource Not Saving:

  • Check that all required fields are completed
  • Verify that the resource title is unique
  • Ensure you have the necessary permissions

Custom Fields Not Appearing:

  • Verify that the selected resource type has custom fields configured
  • Check that the resource type is active
  • Contact your administrator if fields are missing

Image Upload Issues:

  • Check file size limits (usually 10MB maximum)
  • Ensure the file format is supported (JPG, PNG, GIF)
  • Try uploading a smaller image if the file is too large
